“Trash to Treasure” Yard Sale on June 3

Yard Sale Information

The Lafayette Band “Trash to Treasure” Yard Sale will be on Saturday, June 3 at the Bingo Hall!  As you finish your spring cleaning, please set aside some items to donate to the Lafayette Band Yard Sale. 

Items can be dropped off at the Bingo Hall at the following times:

·         Tuesday and Thursday evenings from 7:00pm – 8:30pm

·         Large items should be dropped off on Friday, June 2 or before 8:00am on June 3

·         If you need to make other arrangements, contact Erin Sommer or Cindy Haggan.

Clothing should be clean and all appliances and electronics in working order.

Churchill Downs Fundraising Opportunity

Spend time on “Millionaires Row” at Churchill Downs and make money for the band – no wagering required!

What:
Be a Meat-Carver in the “premium” areas of Churchill Downs, like Millionaire’s Row

When:
Saturday, June 17 or Sunday, June 18 or Friday, June 30

Who:
Anyone 18 years of age and older

Why:
Churchill Downs will donate $125 per person per shift to the band (each shift is 6 to 8 hours long)!

The Details:
Churchill Downs has 60 openings for each of the above dates for Lafayette Band volunteers to become “Meat-Carvers”. Yes, you read that correctly! Picture the chef’s hat with the big fork and knife. That could be you! The 17th and 30th are “Downs After Dark” – their very popular night racing. The 18th is Father’s Day afternoon racing. 

The meat carver position is for a 6 to 8 hour shift. Training is provided at the beginning of the shift – no previous experience required. There is also a short online training that is required prior to participation. For the 17th and 30th dates, you must arrive at 2:00pm. On the 18th, arrival time is 10am. You receive your chef’s hat and jacket upon arrival. You must wear black pants, black socks, and black shoes. You receive training and they divide up into small groups (4 to 10 usually). All Lafayette band volunteers will be inside in the “premium” sections of Churchill Downs like Millionaires Row. Your shift is over when the food section is closed down. They will also provide you with a free meal at the end of the shift. Typical shift will end at 8:00 or 9:00 for the night races, 10:00 at the latest. For the 18th afternoon races, shift ends between 4:00 and 6:00. 

For each person who works a shift, they will donate $125 to the band! Yes, you read that right – $125 per person per shift! This is an unbelievable opportunity to make substantial amounts of money for the band. Consider signing up for one or more shifts –  let’s fill as many open spots as possible!

Order Memory Books and Band DVDs

Don’t miss you chance!  There are still some 2016-17 “Vox Populi” Memory Books and DVDs available.  Order yours now by downloading the order form.  The Memory Book is designed by photographer and band parent, Michelle Dunlap and includes 60 glossy, color pages.  The DVD is produced by Jim Davis and our Media Crew and will include marching band and concert performances for the year. The Memory Book and DVD will cost $20 each or the cost for both items is $35. Registration for Summer M2 Lessons (Summer Music Adademy)

July 10 and 17

The cost is $75 and payment must be received prior to the first lesson or you will not be allowed to participate. 

 

New Corporate Sponsorship Program

Corporate Sponsorships are a great way to partner with businesses across Lexington and make money for the band!  There are hundreds of businesses within a couple of miles of Lafayette that we all frequent:  restaurants, medical offices, orthodontists, auto repair & dealerships, hair salons, law firms, banks, insurance agents, etc.  Also consider friends or family that own businesses in town–the possibilities are endless!  

The Sponsorship Packet has all the information about sponsorship levels and advertising benefits. Please see the Talking Points to help in seeking sponsors. The Lafayette Band Association is pleased to announce that we have a brand new Facebook page.

Please come and like it by searching for “Lafayette Band Association – Pride of the Bluegrass“.  From that page please click on the Groups link in the left hand margin and join the “Lafayette Band Association – Pride of the Bluegrass Group”.  It is a closed group but one of the moderators will get you added ASAP. 

Spread the word to anyone interested in what’s happening with the band.  This will be a great place to get information, ask questions, and to share pictures and videos.  I know we’ve got a few intrepid Facebook live users and I’m hoping that maybe they’ll be willing to stream contests for folks who aren’t able to make it.  If anyone has any suggestions on things they would like to see included please email LBAPresident1@gmail.com and we’ll try to make it happen. 

 

B-I-N-G-O:  Volunteers Needed for Skilled Positions

Bingo is a year-round fundraiser and we need the participation of every Lafayette Band Family!  The financial success of Bingo depends on parent volunteers. Several pull tab sellers are needed every Tuesday and Thursday – the bingo patrons want to give us their money by purchasing pull tabs!  (And the more volunteers we have makes it easier and more fun for all!)

In addition, we need to fill several “trained” positions (sell paper, sell computers, caller, payout, and back room). These positions are necessary to operate Bingo and there are several openings due to graduating parents.  This is a great opportunity to become involved and support the band! We ask that each family volunteer 12 times per year at Bingo.  Please find a Tuesday or Thursday this month and come to the Bingo Hall in Keithshire Shopping Center at 6:00 pm.  You will meet some great parents and support the band’s fundraising efforts.

 

Summer To-Do List from Your Chaperone Team

Medical Authorization Form

1.       Complete the LBA Medical Authorization Form and mail it to the address on the bottom of the form. You must submit this form BEFORE band camp so we can properly treat your child if a medical condition arises. (If you have already turned in your form – Thank You!)

2.       Make an appointment with your child’s physician for a physical. Have the physician complete and sign a KHSAA Physical Form AND the LBA Over the Counter Medical Authorization Form if you so desire. These forms do NOT need to be completed and returned prior to band camp. You will need to bring in blank forms for the physician to complete and sign.

Complete the Summer To-Do List

 

Here is a list of the items to be completed this summer:

·         Join the Lafayette Band Association (required to volunteer)

·         Submit to a new or update your current FCPS Background Check (required to volunteer)

·         Schedule your student for a KHSAA (Sports) Physical (return completed form prior to band camp)

·         Complete and return the LBA Medical Authorization Form and the Over-the-Counter Medication Authorization Form (return prior to band camp)

·         Volunteer at Bingo (Tuesday or Thursday) by emailing our bingo volunteer coordinator at LafayetteBandBingo@gmail.com

·         Complete and return the volunteer form.

 

Parents – Join one of the Band Crews for the 2017-18 year!

 

It’s never too late to start finding your niche and meet many new lifelong friends as your child makes their journey through band.  Regardless of whether you are able to volunteer an hour a week or hours a day, it is the combined parent volunteer contributions that make a successful band program.

Here is what you can do this summer to support and participate in your child’s band experience.

1.       Join the Lafayette Band Association. All volunteers must be members of the LBA.

2.       Verify that you are an approved volunteer with the Fayette County School System. Click on this link

3.       Volunteer at BINGO as many Tuesdays and Thursdays as you can spare this summer while your schedule is not so hectic. This is the best way to meet and get to know other band parents while also supporting the band in one of its most profitable fundraisers.

4.       Watch for a crew recruiting meeting this summer. This will give you an opportunity to meet and speak with all the crew leaders to determine which crew fits you best.

2017-2018 Materials Mailed

 

All families should have received a set of materials in the mail for the 2017-2018 band year.  The materials include:

  • 2017-2018 Payment Agreement (orange paper) – to have been returned by March 15
  • LBA Membership Registration Form (blue paper) – required to volunteer with LBA
  • LBA Parent Volunteer Form (green paper)
  • Medical Authorization Form (yellow paper) – Mandatory for all students to participate
  • Over-the-Counter Medication Authorization Form (cream paper) – Must be signed by a physician and parent in order for student to receive OTC medications.

Charms Database

 

The Lafayette Band uses Charms, a web-based organizational software system to track student contact information, financial statements, email communication, and more. 

To log into Charms, go to www.charmsoffice.com.  Click “Enter” on the top menu and click “Parents/Students/Members” on the dropdown list.  Login using the school code “lhsband” and enter your student ID/password.  If you need your student ID, please contact Liz Booth at lafayettebandaccounts@gmail.com. The student ID is assigned by Charms and is a combination of letters and numbers. 

If your student has an outstanding balance, you will receive a monthly financial statement.  The monthly payments will be billed individually in the Fixed Payment ledger.  Amounts received that are less than the billed fixed payment amount will be temporarily stored in the Miscellaneous ledger.  When the amount in the Miscellaneous ledger is sufficient to pay a monthly payments, we can transfer the amount to the appropriate fixed payment. 

Band payments may be paid by cash, check, credit card or money order.  Checks and money orders should be made payable to “LBA” (please note the student’s name) and mail to:
